Manager Portal: Adding a Driver

Created by Ryan Davis, Modified on Wed, Sep 16 at 3:53 PM by Ryan Davis

Overview

The quickest way to add a driver is from the + button in the bottom-right corner of any page. Click it to open the action menu, then choose Add Driver. You can also add a driver from the Driver List page by clicking Add New Driver.

Either way, a guided form opens that walks you through four steps:

  1. Personal Information — Name, email, phone, and driver ID
  2. Driving Information — Status, employment type, and hire date
  3. License & Medical Card — Optional compliance documents
  4. Document Upload — Upload scanned copies of license or medical card

The driver is created when you complete Step 3. Steps are completed in order, and you can go back to previous steps to make changes before saving.

Step 1: Personal Information

Enter the driver's basic details:

FieldRequired
First NameYes
Last NameYes
EmailYes
Mobile PhoneNo
Date of BirthNo
Driver IDYes

Step 2: Driving Information

Choose the driver's status and fill in the related details. The fields that appear depend on the status you select.

Driver Status is always required. The default is Active, which is the right choice for most new drivers.

Fields by status:

FieldWhen It AppearsRequired
Driver StatusAlwaysYes
Applicant StageStatus = ApplicantYes
Termination DateStatus = TerminatedYes
Employment TypeStatus = Active or InactiveYes
Hire DateStatus = ActiveYes
Driver TypeStatus = ActiveYes
Route TypeStatus = ActiveYes
Domicile TerminalStatus = ActiveNo

Step 3: License & Medical Card

Both sections on this step are optional, but highly recommended. If you don't have this information available, you can add it later from the driver's record.

License

To add a license, turn on the license section and fill in:

FieldRequired
License TypeYes
License StateYes
License NumberYes
Issue DateYes
Expiration DateYes

Medical Card

To add a medical card, turn on the medical card section and fill in:

FieldRequired
Issue DateYes
Expiration DateYes
Certified to MVRNo

Click Save to create the driver.

Step 4: Document Upload

If you entered license or medical card information in Step 3, the form advances to a file upload step. You can upload scanned copies of the documents you just entered.

You can click Skip to finish without uploading — files can always be added later from the driver's record.

After Saving

Once the driver is created, you'll see a success message with a link to view the new driver's record. Click the link to go directly to their driver record, or click Done to close and return to the Driver List.

Tips

  • Email is required — drivers need an email address for portal access and notifications
  • Start with Active status unless you're specifically onboarding an applicant — you can always change the status later
  • Add license and medical card during onboarding to avoid compliance watchlist flags for missing documents
  • Duplicate detection is automatic — if a driver already exists in another fleet, the system recognizes them and links them to your fleet without duplicating their information. This is especially useful if you manage the same group of drivers across different fleets.
