Manager Portal: Driver Records

Overview

The Driver Record page is your complete view of an individual driver. Safety scores, event history, compliance documents, vehicle assignments — it's all here in one place.

You can get to a driver record by clicking any driver's name from the Dashboard, Safety Overview, Driver List, or anywhere else a driver name appears in the portal.

Permissions

Viewing a driver record requires the Can View All Drivers permission. Some sections only appear if you have additional permissions:

If a section described below doesn't appear on the page, you may not have the required permission. Your account administrator can adjust this for you.

Driver Name and Status

At the top of the page, you'll see the driver's name along with their current status — ActiveInactiveTerminated, or Applicant. If you have edit permissions, an Edit Driver button appears here as well.

If the driver is on the safety watchlist, you'll see a yellow alert below the name showing the active watchlist reasons.

Safety Scores

Below the header, active drivers show a set of safety scores. Each score is color-coded — green means good standing, yellow is a warning, and red signals a concern.

This section only appears for active drivers.

Details

The Details section shows the driver's personal and employment information:

  • Personal — Name, email, mobile phone, birthdate
  • Status — Driver status, driver ID, termination date (if applicable), applicant stage (if applicable)
  • Employment — Employment type, hire date, driver type (Solo or Team), route type, domicile terminal. You'll only see employment fields for active and inactive drivers.

To make changes, click Edit Driver at the top of the page. A form opens where you can update the driver's information.

Timeline

The Timeline shows a chronological history of everything that's happened with this driver. It's one of the most useful tools on the page for spotting patterns and investigating events.

Filtering

You can narrow the timeline using three levels of filters:

  • Date range — Pick custom start and end dates
  • Event types — Choose which types to show: Incidents, Roadside Inspections, ELD Events, Camera Events, Coachings, Disciplinary Actions, and Trainings
  • Sub-filters — Once you select an event type, additional filters appear. For example, selecting Camera Events lets you filter by specific behaviors like distracted driving or following distance

Each event in the list shows a type icon, name, date, and summary. Click any event to see the full details.

The timeline starts with the last 90 days. Click Load More at the bottom to go further back.

Driver History

Driver History gives you detailed lists of each event type, organized into sections you can expand and collapse:

  1. Incidents — Road accidents and incident reports. Click an incident to see the full record.
  2. Roadside Inspections — State inspection records with results and violation details
  3. ELD Events — Electronic Logging Device violations. You can filter these by behavior type.
  4. Camera Events — Dashcam safety events. You can filter these by behavior type.
  5. Coachings — Coaching conversation records. Click to open the full coaching detail.
  6. Coaching Escalations — Disciplinary action and escalation records
  7. Training Records — Required trainings with status, due dates, and completion tracking. You can filter these by training type.

Each section shows a count next to the heading so you can see how many records exist at a glance. If there are more than 25 records, click Load More to see the rest.

If you have the right management permissions, you'll see Add buttons to create new records directly from here.

Sections for Camera Events and ELD Events only appear if you have the corresponding view permissions.

Driver Files

Driver Files is where you'll find all compliance documentation, organized into these sections:

  1. License and Medical Card — CDL and medical certification documents
  2. Commercial Driver Applications — Prehire, rehire, and transfer applications with status
  3. Drug and Alcohol Tests — Test results with FMCSA Clearinghouse compliance indicators
  4. FMCSA Clearinghouse Queries — Required prehire, annual, and rehire checks
  5. Motor Vehicle Records — MVR reports (prehire, annual, rehire, interim)
  6. PSP Reports — Pre-employment Screening Program reports
  7. Signed Documents — Policy acknowledgments and handbooks showing whether they're sent, signed, or expired
  8. Document Uploads — Policies, schedules, timesheets, and payroll documents

You can preview and download files from each section. Items nearing their expiration date show a yellow warning, and expired items show a red warning — so it's easy to spot compliance gaps.

If you have the Can Edit Driver Info permission, you can add, edit, and delete files in each section.

Assigned Vehicles

At the bottom of the page, you'll find the driver's vehicle assignments:

  • Active Vehicles — Currently assigned vehicles with unit number and status. You can edit or deactivate assignments here.
  • Inactive Vehicles — Past assignments (read-only, showing the 50 most recent).

Click Add Vehicle Assignment to assign a new vehicle (requires edit permissions). Click any vehicle name to go to its Vehicle Record.

Common Actions

  1. Review safety performance — Check the safety scores, then look at specific event types in Driver History
  2. Investigate an event — Use Timeline filters to narrow by date and type, then click the event for details
  3. Check compliance status — Open Driver Files and make sure the license, medical card, and clearinghouse queries are current
  4. Add a training record — Go to Driver History, open Trainings, and click Add Training
  5. Log an incident — Go to Driver History, open Incidents, and click Add Incident
  6. Record a roadside inspection — Go to Driver History, open Roadside Inspections, and click Add Inspection
  7. Manage vehicle assignments — Go to Assigned Vehicles and add or deactivate assignments
