Overview
The User Management page is where you control who has access to your portals and what they can do. It has two tabs: Users for managing individual accounts, and Roles for customizing what each role can access. You'll find it in the main navigation menu.

If you don't see User Management in the navigation menu, you don't have any of these permissions. Your account administrator can adjust this for you.
How Permissions Work
Every feature in the portal is controlled by a specific permission. Permissions are organized into categories — User Management, Driver Management, Vehicle Management, and more — and are assigned to roles on the Roles tab.
Your administrator can customize which permissions each role has, so what a given role can access may vary by fleet. Each article in this Quick Start series notes which specific permissions are required, regardless of which role those permissions happen to be assigned to.
When you grant someone manager portal access, you assign them a role. That role determines which permissions they have, and therefore which pages and features they can see.
The Users Tab
At the top of the page, you can search for users by name or email, filter by user type (Manager Only, Driver Only, or both), and filter by status (Active or Inactive). The Grant Access button lets you add a new user.
The user list shows each person's name and email, their manager portal role (if any), whether they have driver portal access, their current status, and when they last logged in. If someone hasn't verified their email yet, you'll see a warning next to their status.
Each row has buttons for editing the user, resending their verification email, or deactivating their access. Inactive users show a reactivate button instead.
Granting Access to a New User
- Click Grant Access.
- Find or create a contact:
- Search for an existing contact by name (minimum 2 characters).
- Or click Add New Contact to create one. First Name, Last Name, and Email are required. You can also mark the contact as a Driver and provide a Driver ID and Mobile Phone.
- Configure portal access:
- Manager Portal — Toggle it on, then pick a role from the dropdown.
- Driver Portal — Toggle it on (only available if the contact is set up as a driver).
- Set notification preferences (if you have the Can Manage User Notifications permission). You'll see the same notification categories as the Your Profile notifications tab: driver, training, vehicle, and fleet performance.
- Click Save.
The user receives a welcome email with a verification link to set up their login.
Editing a User
Click Edit on any active user's row. From here you can change their manager portal role, toggle their driver portal access, or update their notification settings. Click Save when you're done.
You cannot deactivate your own manager portal access — this prevents you from accidentally locking yourself out.
Deactivating and Reactivating Users
To deactivate a user: Click Deactivate on their row and confirm. This disables both their manager and driver portal access. The user is marked inactive but not deleted — you can bring them back later.
To reactivate a user: Click Reactivate on an inactive user's row. You'll see the same form as Edit — reconfigure their portal access and role, then click Save.
Resending a Verification Email
If someone hasn't verified their email yet, click Resend Email on their row. A new verification link is sent to their email address.
Customizing Permissions (Roles Tab)
The Roles tab is where you control which permissions are assigned to each role for your fleet. It's only visible if you have the Can Manage Permissions permission.
You'll see a grid of permissions organized by category, with a column for each role. Check or uncheck permissions to customize what each role can do.

Things to Know
- Camera Events, ELD Events, and Training only appear if those features are enabled for your fleet.
- Some permissions depend on others — for example, "Manage Fleet Documents" requires "View Fleet Documents" to be turned on first.
- To make changes: click Edit, adjust the checkboxes, then click Save.
Permission changes take effect the next time the user logs in or refreshes the page.
